Email access to #stratBot lets you work with your StratNav project directly from your inbox. Send a question or instruction to your project’s dedicated email address, and #stratBot uses everything it knows about your strategy to respond. If you have permission to update the project, it can also use its tools to create and change project records.
Some examples
- A customer or colleague emails you with information and data relevant to the strategy. You can forward it to #stratBot and ask it to update the relevant strategic insights. StratNav finds the relevant strategic insights and updates them with the new information. It replies with links to the updated insights for your review.
- After a to-and-fro conversation by email, a customer or colleague might tell you that they will explore something further and come back to you by next week. You can forward the email to StratNav and ask it to set up a reminder for follow-up. It sets the reminder using the context from the email trail and replies with a link to the newly created action for your review. You then get a reminder at the appointed time.
- After a series of emails debating one of your strategic goals, you might copy #stratBot in on your reply and ask it to clarify certain details from your strategic analysis, rationale and/or decisions. It replies to the whole group (provided they are also registered users of StratNav with access to the project), providing the information requested.
#stratBot can use the project’s information to answer questions and carry out supported changes. Your existing project permissions determine what it can do on your behalf.
Getting started
Getting started takes just a few steps:
- Open your project’s details edit screen.
- Near the bottom of the main panel, find “Enable email access to #stratBot for eligible users (Beta)”.
- Select Enable email.
- Your project’s email address appears beside the selector. Click the clipboard icon to copy it.
- Send an email from the address registered on your StratNav account.
Each project receives an address with a unique nine-character code, in this format:
stratbot+abc123xyz@stratnavapp.com
Use the address shown for your own project. The code tells #stratBot which project your message concerns.
Top Tip: Once enabled, you can save the project address as a contact in your email application. Choose a name that identifies the project, such as "#stratBot for Acme Corp strategy" so it is easy to select the right one later if you're working with more than one strategy project.
What happens when you send a request
When your message arrives, StratNav checks the project address, whether email access is enabled, your account’s access to the project and your subscription. Only after those checks pass does it send your query to the AI.
The query includes the sender’s name and email address, the names and addresses supplied in the To and CC fields, and the subject and body. This helps #stratBot understand both your request and the people involved.
#stratBot is instructed to treat your current message as the request and any quoted email history as supporting context. Previous conversations from the app are excluded. When following up, include enough detail—or retain the relevant email thread—for your request to make sense.
The response arrives as a formatted email, with your original message quoted underneath. Links to project records take you back into StratNav, where normal sign-in and access controls still apply.
Access and security
Access follows your account and project permissions.
Knowing a project’s email address does not, by itself, grant access. The sender must match an account that has access to that project (see how to grant access to projects in StratNav), and that same account must have a Pro subscription.
The sender’s email address currently needs to match the address stored on the account exactly. If you send from another mailbox or an alias, the request may be rejected even if both addresses belong to you.
Your permission level also matters. Users with edit access can ask #stratBot to make supported changes. Users with read-only or commenter access can ask questions, but the tools for changing project records are disabled for them.
#stratBot will only accept incoming emails from properly registered email addresses with appropriate permissions. However, once it gets an incoming email, it will respond to everyone copied on that email.
#stratBot will only reply and/or copy in registered StratNav users who have access to the project in question. This prevents accidental disclosure of confidential information (or deliberate spoofing of your email address by hackers). If you do want to send #stratBot's responses to non-registered users, you can, of course, forward #stratBot's responses to them.
You remain in control of whether the project accepts email requests. Clear Enable email in the project details to switch it off. Subsequent requests will receive a response explaining that email access is disabled.
If a message contains an invalid project code, refers to an unavailable project, or fails an access or subscription check, #stratBot sends an explanatory reply where possible and logs the rejection for troubleshooting.
